Required Knowledge, Skills, and Abilities
Provide administrative support which includes handling confidential information, documentation and agreements. Maintain a database of information relevant to tenders and proposals and ensure that these are up to date. All administration of tender proposals must be maintained effectively. Ensure that all follow ups in respect of tenders are done regularly and in a timely manner. Assist the sales team with documentation support. Coordinate diaries to schedule meetings in a workable and practical order. Take detailed minutes at all meetings and distribute these to relevant people promptly. Request information needed from suppliers and internal divisions for tenders. Follow up where necessary. Help achieve sales targets through quality submissions that improve the conversion ratio from submission to success. Write and compile tender responses tailored to the target. Ensure all written work is free from errors and professionally presented. Ensure all required documentation is included in tender, proposal, and other submissions. Adhere to agreed deadlines. Coordinate and respond to all client requests. Provide the best service level to clients both internal and external. Build and maintain relationships with suppliers by networking and attending promotional events on an ad hoc basis. Maintain and build relationships with internal divisions. Support the bid and sales teams in brainstorming ideas and strategizing to attain targets. Assist the Head of Bid Writing and the bid team in day to day operations as required. Assist in the implementation of strategies and projects.
